  • Are we on track?
  • Which donors are we retaining or losing?
  • Which campaigns need attention?
  • What should leadership do next?

The recommended starting point

Fundraising Visibility Sprint

A one-week, fixed-scope review that turns existing CRM exports and reports into a practical management view. It helps you understand performance now and determine which improvement is worth building next.

One week · existing data · defined outputs

A useful view without a major project

Start with exported data and the reports your team already uses. No CRM replacement or enterprise platform is required.

Typical inputs

  • Gift and donor exports
  • Campaign, appeal and fund codes
  • Current management or board reports
  • Optional action or pipeline data

What you receive

  • Performance snapshot
  • Donor movement summary
  • Campaign trend view
  • Board-ready summary
  • Prioritized next-step roadmap

Focused follow-on services

Build only the capability you need.

After the sprint—or when the need is already clear—choose a focused service package. Each package is scaled to the organization’s data, decisions and ability to maintain the result.

01 · PERFORMANCE

Board and leadership reporting

Turn fundraising data into a concise, repeatable story that leadership can understand and act on.

  • Board KPI pack
  • Revenue and donor trends
  • Campaign status summary
  • Commentary template
02 · DONORS

Retention, reactivation and segmentation

Show who renewed, lapsed, returned or may be ready for better stewardship and upgrade attention.

  • Retention and lapse analysis
  • Reactivation opportunity pool
  • Upgrade and mid-level groups
  • First-gift stewardship segment
03 · PLANNING

Planning and forecasting

Replace hope-based targets with scenarios grounded in donor behaviour, campaign history and explicit assumptions.

  • Annual planning baseline
  • Conservative, expected and stretch cases
  • Gap-to-target analysis
  • Excel or Solver model where useful
04 · FOLLOW-UP

Stewardship and operational visibility

Make important donor follow-up, overdue actions and workload visible enough to manage.

  • Follow-up dashboard
  • Completion-time analysis
  • Workload view
  • Stewardship thresholds and rules
05 · AUTOMATION

Reporting automation and Power BI

Reduce recurring exports, spreadsheet updates and manual reporting without overbuilding the technology.

  • Power BI prototype
  • Power Query transformation
  • Excel or SharePoint workflow
  • Refresh and process documentation
06 · FOUNDATIONS

Data quality and knowledge continuity

Fix the definitions and coding issues that undermine reporting, while preserving the knowledge staff need to sustain it.

  • Reporting-readiness scorecard
  • Coding and cleanup priorities
  • Metric definition guide
  • Searchable procedure knowledge base

Useful, maintainable deliverables

The format follows the decision.

Not every charity needs Power BI. The right output may be a controlled Excel model, a concise board pack, a Power BI prototype, a documented monthly process or a carefully scoped automation.

  • Excel planning models
  • Power BI prototypes
  • Board reporting packs
  • Donor segment files
  • Process documentation
  • Management scorecards

How the work starts

Start small. Build what proves useful.

The first engagement should produce something leadership can use—not simply a recommendation for a larger project.

Step 1

Orient

Clarify the decisions, available data and staff capacity.

Step 2

See

Use the Visibility Sprint to establish the current picture.

Step 3

Build

Develop one focused reporting, planning or automation capability.

Step 4

Sustain

Document a reporting rhythm staff can maintain and improve.

Common questions

What small teams usually ask

Do we need Power BI?

No. Power BI is useful when a recurring dashboard adds value, but many organizations should begin with a controlled Excel model, a board pack or a clearly documented reporting process.

Does our CRM need to be cleaned up first?

Not necessarily. Existing data can often support a useful first view. The work will distinguish findings that are reliable now from those that depend on coding or data-quality improvements.

Will you replace our CRM?

No. These services create a lightweight intelligence layer around the CRM and reporting tools you already use. The CRM remains the donor system of record.

Can our staff maintain the result?

That is a design requirement. Deliverables include the definitions, refresh steps and documentation needed to repeat the work. The format is scaled to available staff time and technical capacity.

How is donor information handled?

The required data, transfer method, access and retention period are agreed before work starts. Only information needed for the approved analysis should be shared. Knowledge-base projects normally exclude donor personal information.

A practical first conversation

Bring one reporting problem—not a finished specification.

We can determine whether the Visibility Sprint, a focused service package or a smaller internal fix is the appropriate next step.
